Job Summary
To keep the company in compliance with Federal and state leave requirements as well as complying with company policy and procedure by managing and maintaining a Leave and Accommodation Program. This role will provide support for all leave of absence cases in conjunction with operational, Risk Management, and Human Resource teams. Coordinates all cases and claims, including administration, case management, and program compliance. This role will require extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
Responsibilities
- Provide details regarding state and city family and medical leave laws
- Track/Administer the previous 12 months of leave history.
- Notify employees of FMLA and if applicable, state leave policies.
- Provide support and resources to employees to help them navigate leave and accommodation processes.
- Collaborate and work closely with all departments, including legal and operations, to ensure a comprehensive and compliant approach to leave management.
- Verify eligibility requirements, facilitate the certification process, and send initial paperwork.
- Track and record all employee requests and individual leaves in a secure manner
- Provide notification to managers on leave approvals and return to work
- Coordinate complex cases that combine multiple benefit areas
- Provide program utilization reports detailing employees on leave, frequency of leave, and qualifying events
- Coordinate with STD/LTD vendor for employer statements and leave notifications
- Verify the employee’s leave status in the benefits administration system
- Report Auditing: Benefits administration system leave status and STD/LTD claim status
- Educate and counsel employees on all aspects regarding a leave of absence
- Partners closely with the Human Resources Director on all related accommodation and/or leave cases/claims. Meeting regularly to review the status of accommodation and/or leave cases/claims.
- Educate and counsel managers and HR on leave-related policies and procedures and conduct training as necessary.
- Leave File Management: Gather all claims data provided by the vendor and HR managers and send a report to HR.
- Performs all other duties as assigned or required.
Minimum Requirements
- Bachelor’s degree with 4-6 years of experience in Human Resources, 3-4 years in leave management preferred
- CLMS Certification - Leave Management Specialist | DMEC

- Excellent communication skills in both verbal and written to be able to effectively explain policies and procedures to employees and management
- Demonstrated ability to deal with confidential information
- Demonstrated problem-solving, time management, and priority-setting skills
- Attention to detail by being meticulous in managing records and ensuring compliance with federal, state, and local requirements.
Physical Requirements/Working Conditions
- Occasionally move inside the office to access filing cabinets, office machinery, etc.
- Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
- Walk short distances.
- Reach above and/or below the shoulder.
- Handle/grasp documents or office equipment.
- Sit and/or stand for short or extended periods.
- Lift/carry/move objects, files, and documents up to 50 pounds.
- Work in an office environment using standard office equipment.
- Talk, listen, and speak clearly on the telephone.
