Job Summary
The Payroll Specialist is responsible for supporting the payroll processing for hourly employees while ensuring compliance with all applicable federal, state, and local wage and hour regulations. The Payroll Specialist serves as a key point of contact for employee payroll inquiries, resolves pay discrepancies, supports administration of wage garnishments, and supports internal and external audits. The position also provides payroll‑related administrative support and participates in special projects to enhance payroll operations and efficiency.
Responsibilities
- Support core payroll processing team with payroll duties such as ensuring accuracy, making necessary corrections, and validating payroll prior to final approval and payment.
- Review and resolve employee pay discrepancies in a timely and effective manner.
- Respond promptly to employee payroll inquiries and provide clear explanations and resolutions.
- Ensure accurate and timely processing of payroll updates, including new hires, terminations, promotions, and pay rate changes.
- Maintain compliance with all federal, state, and local payroll, wage, and hour laws, regulations, and best practices.
- Support internal and external audits by preparing and providing required payroll records and documentation.
- Administer wage garnishments and ensure timely and accurate processing in accordance with legal requirements.
- Perform payroll‑related administrative duties, including reporting, filing, and record retention.
- Participate in special payroll and HR‑related projects as assigned.
- Provide general office administrative support as needed.
Minimum Requirements
- Minimum of one (1) year of payroll experience or equivalent related experience.
- High School diploma or equivalent required.
- Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred.
- Fundamental knowledge of payroll processes, including payroll preparation, balancing, internal controls, and payroll tax requirements.
- Strong organizational skills with a high level of attention to detail and accuracy.
- Excellent analytical and problem‑solving skills.
- Demonstrated ability to maintain confidentiality and exercise discretion with sensitive information.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) or related software.
- Experience with payroll and timekeeping systems preferred, including ADP, SAP, and UKG.
- Fundamental Payroll Certification (FPC) strongly preferred.

Physical Requirements/Working Conditions
- Primarily office-based role with extended periods of sitting and computer use
- May require occasional standing, walking, and light lifting (up to 15 lbs)
- Ability to work in a fast-paced environment with tight deadlines, especially during payroll cycles
