Job Summary

Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business details by performing the following duties:  Reads and routes incoming mail. Locates and attaches the appropriate file to the correspondence to be answered by the supervisor or manager.  Composes and types routine correspondence. Files correspondence and other records.  Answers telephone and gives information to callers or routes calls to the appropriate party and places outgoing calls. Schedules appointments for the employer.  Greets visitors, ascertains the nature of business, and escorts visitors to the appropriate person.    Compiles and types statistical reports.  Records minutes of staff meetings.  Makes copies of correspondence or other printed matter.  May prepare outgoing mail.

Responsibilities

 

  • Assist the General Manager with the end-to-end onboarding process for all new hires.
  •  Schedule appointments for new employees, including fingerprinting and airport badging sessions.
  • Follow up with new hires consistently to ensure the timely completion of all onboarding requirements and training modules.
  • Read and interpret essential documents, including safety rules, operating instructions, and procedure manuals.
  • Read, route, and prepare incoming and outgoing mail, ensuring appropriate files are attached to correspondence requiring a manager's response.
  • Compose and type routine correspondence, reports, and statistical data.
  • Manage telephone traffic by providing information to callers, routing calls, and placing outgoing calls.
  • Greet and assist visitors to ascertain the nature of their business and escort them to the appropriate personnel.
  • Speak effectively before groups of customers or employees to relay organizational information.
  • Organize and maintain the employer's schedule by setting appointments and coordinating meetings.
  • Attend staff meetings to record and distribute official minutes.
  • File correspondence and other records systematically while making copies of printed matter as needed.
  • Solve practical problems and interpret instructions provided in written, oral, diagram, or schedule formats.
  • Perform calculations involving addition, subtraction, multiplication, and division across all units of measure.

Minimum Requirements

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, write, fluently speak and understand the English language.

Preferred Skills

  • Previous experience in a similar role or airport environment. 

Physical Requirements/Working Conditions

  • Remain in a stationary position 50% of the time.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine, and computer printer.
  • Walk short distances.
  • Reach above and/or below the shoulder.
  • Handle/grasp documents or office equipment.
  • Sit and/or stand for short or extended periods of time.
  • Lift/carry/move objects, files, and documents up to 10 pounds.
  • Work in an office environment using standard office equipment.
  • Talk, listen, and speak clearly on the telephone.
  • Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
